The New York City Anti-Violence Project (AVP) empowers lesbian, gay, bisexual, transgender, queer, and HIV-affected communities and allies to end all forms of violence through organizing and education, and supports survivors through counseling and advocacy.
DUTIES AND RESPONSIBILITIES Financial Mananagementagement• Manage all day-to-day accounting functions for AVP and all AVP’s accounting systems using FUND EZ, Raisers Edge and other appropriate software programs.• With the Executive Director and the Board of Directors, generate the agency’s annual budget that integrates government contracts and corporate grants.• Review coding of accounts receivable and accounts payable transactions.• Maintain and review balance sheet, revenue and expenses statement, profit and loss reports and income statement by restricted, temporarily restricted, and unrestricted funds to be presented to the Executive Director and the Board regularly. • Supervise postings of all accounts receivable, accounts payable, and general ledger transactions, reconciliation of agency bank accounts, processing payroll including using the time sheet system to account for government, corporate and foundation grant spending and prepare journal entry.• Supervise the management and administration of all employee benefit programs.• Conduct negotiations and maintain relationships with vendors. • Review vouchers of AVP grantees and sub-grantees or project-specific funding and process reimbursements for these grants.• Manage the production of all annual financial statements, including supervising audit, Form 990 and A-133 process. • Coordinate filing of Standard Annual Reporting (SAR) process with Movement Advancement Project and/or other projects that coordinate the SAR process. Contracts Management • In collaboration with senior staff, administer city, state and federal government contracts and corporate and foundation grants, including but not limited to: creating budgets for grants, creating budget modifications as necessary, creating mechanisms to monitor and track expenditure of grant money and provide fiscal information for all contract and grant applications and reporting. • Prepare/coordinate the completion of continuation of funding application grants.• Review the coding of cash receipts and cash disbursements to ensure appropriate contract classification.• Review monthly and quarterly government grant vouchers for signature by Executive Director. • Review spending and variance reports for all contracts and alert management of areas where AVP is over or under-spending. Office Management and Administration • Supervise management of office systems and AVP’s space, including office maintenance contracts, facilities management, and generally making sure that agency’s space and offices are presentable to clients. • Manage inventory of all equipment.• Supervise IT consultant, inventory of software and hardware and computer, network and security system management. • Supervise maintenance of personnel records and administer AVP benefits plans and payroll. • Create and maintain a policies and procedures manual for the Department of Finance. • Prepare all reports and maintaining all records required by law and associated with the program’s 501(c)(3) status. • Participate in and assist with implementation of any strategic plans for the agency. • Manage department professional development and regular department staff evaluation. • Staff the Board’s Finance and Audit Committees and prepare other Board Committees as appropriate. • Make recommendations for adjustments to the operating budget, financial projections and strategic plan as needed. Finance and Non-Profit Management background, with 4 to 5 years of experience with fiscal management, office management, human resources and administration. Advanced degree preferred. Familiarity with federal, state, and city contract processes and fund accounting, particularly FUND EZ and Raisers Edge required. Demonstrated commitment to working to end violence within and against lesbian, gay, bisexual, transgender, queer, and HIV-affected communities.
