Position Description: 

The National Center for Transgender Equality (NCTE) seeks a full-time Operations Manager to ensure the efficiency of the organization by executing operations-related tasks under the supervision of NCTE’s Director of Finance and Operations. This includes managing operational and administrative needs of NCTE, designing better systems to better support NCTE’s growing staff, coordinating selected human resources functions, and troubleshooting basic technology issues. Duties and Responsibilities 

  • Develop and maintain operational procedures to ensure a smooth running office, including updating and maintaining an operations manual
  • Maintain office furniture, equipment, and other items, including performing maintenance and minor fixes, and securing third-party repairs when equipment malfunctions
  • Serve as point of contact for building management, NCTE’s sub-tenants, and third-party vendors
  • Troubleshoot basic technology issues, liaise with IT support consultants, and work with other tech vendors as necessary
  • Onboard and offboard all staff and interns, ensure compliance with human resources rules and policies, and assist with other general HR issues as needed
  • Track and assist staff with navigation of employee benefits, including liaising with benefits vendors
  • Manage recruitment of new employees – posting positions, processing candidate applications, communicating with candidates, in consultation with the Director of Finance and Operations
  • Processing employee timesheets and benefit accruals on a weekly and monthly basis
  • Collect timesheets on a weekly basis from hourly employees and monthly from salary employees; ensure timesheets are accurate and compliant with NCTE policies
  • Maintain electronic and physical files, including maintaining current passwords for the organization and overseeing reorganization of internal electronic filing system
  • Provide administrative support for general office needs in collaboration with Executive Assistant, such as sorting and responding to incoming email and mail, providing secondary coverage for phones, and maintaining office supplies and equipment
  • Other duties as assigned 
Qualifications: 

Qualifications: 

  • Excellent organizational and time-management skills, detail-oriented, and ability to prioritize and manage multiple tasks independently
  • At least two or more years of experience in an operations, human resources, or administrative role is strongly preferred
  • Desire and ability to create and maintain order within a fast-moving environment, without sacrificing accuracy or dropping details; finds satisfaction in balanced spreadsheets and smoothly running processes
  • Demonstrated ability to take initiative, solve problems, anticipate actions, and use creative means to complete tasks
  • Commitment to full social justice and an understanding of issues affecting transgender people, including trans people of color and those with low- or no-income is preferred
  • Understanding of basic Microsoft Office is required, and understanding of Microsoft 365 products, including One Drive and Sharepoint, is preferred
  • Experience troubleshooting basic IT and office equipment issues, including working with cloud-based software, is preferred
  • Fluency in Spanish is a plus
